The Company is a recruitment business that provides work-finding services to its clients and work-seekers. The Company must process personal data (including special categories of personal data) to provide these services – in doing so, the Company acts as a data controller. You may give your personal details to the Company directly, such as on an application or registration form or via our website, or we may collect them from another source, such as a jobs board. The Company must have a legal basis for processing your personal data. For the purposes of providing you with work-finding services and/or information relating to roles relevant to you, we will only use your personal data in accordance with this privacy statement. We will comply with current data protection laws at all times.

1. Collection and use of personal data

a. Purpose of processing and legal basis

The Company will collect your personal data (which may include special categories of personal data) and will process it for the purposes of providing you with work-finding services. This includes contacting you about job opportunities, assessing your suitability, updating our databases, putting you forward for job opportunities, arranging payments, and developing and managing our services and relationships with you and our clients.

If you have opted-in, we may also send you marketing information and news via email/text. You can opt-out at any time by clicking "unsubscribe" when you receive these communications.

On some occasions, we may be required to use your data for investigating, reporting, and detecting crime and complying with laws that apply to us. We may also use your information during internal audits to demonstrate our compliance with industry standards.

We must have a legal basis to process your personal data. The legal bases we rely upon to offer our work-finding services to you are:

  • Where we have a legitimate interest

  • To comply with a legal obligation

  • To fulfill a contractual obligation with you

b. Legitimate interest

This is where the Company has a legitimate reason to process your data, provided it is reasonable and does not go against what you would reasonably expect from us. Our legitimate interests include:

  • Managing our database and keeping work-seeker records up to date

  • Providing work-finding services to you and our clients

  • Contacting you to seek your consent when needed

  • Providing you information about similar products or services

Authorized Third-Party Providers

We may share Personal Data with third-party providers that provide business services to us or on our behalf, such as IT services, hosting services. Payment information will be used and shared only to process your order and may be stored by a service provider for purposes of future transactions. We prohibit our third-party providers from using or sharing your Personal Data except as necessary to perform the contracted services on our behalf or to comply with applicable legal requirements.

Other External Sharing

We may share Personal Data with banks, referencing agencies, DBS, credit referencing agencies and government agencies such as tax an immigration authorities and pension providers.

We may share the personal data of clients with candidates and vice versa. Also, we may (occasionally) share the personal data we collect with others such as professional advisers, insurers etc.

We will only share personal data when it is necessary, fair, lawful, justified and proportionate to do so.

c. Statutory/contractual requirement

The Company has certain legal and contractual requirements to collect personal data (e.g., to comply with the Conduct of Employment Agencies and Employment Businesses Regulations 2003, immigration, and tax legislation, and in some cases, safeguarding requirements). Our clients may require this personal data, and we may need your data to enter a contract with you. If you do not give us the required personal data, we may not be able to continue to provide work-finding services.

The Company will process your personal data and/or sensitive personal data with the following recipients:

  • Clients (who we may introduce or supply you to)

  • Former employers (for references)

  • Payroll service providers

  • Credit referencing agencies

  • Other recruitment agencies in the supply chain

Source of the personal data
The Company sourced your personal data/special categories of personal data from:

  • Jobs boards and LinkedIn

  • Former employer

  • Referee whose details you provided

  • Software providers for service support

  • Cookies

3. Overseas Transfers

The Company will not transfer your information outside the UK and/or the European Economic Area (‘EEA’) for work-finding services. The EEA comprises the EU member states plus Norway, Iceland, and Liechtenstein.

4. Data retention

The Company will retain your personal data only as long as necessary for the purpose we collected it. Different laws may require us to keep different data for different periods. For example:

  • Work-seeker records: at least one year

  • Right-to-work records: 2 years

  • Payroll records, holiday pay, sick pay, pensions auto-enrolment: 3 to 6 years

If consent was given, we will process data in line with our retention policy, and upon expiry, will seek further consent if necessary.

5. Your rights

You have the following data protection rights:

  • Right to be informed

  • Right of access

  • Right to rectification

  • Right to erasure in certain circumstances

  • Right to restrict processing

  • Right to data portability in certain circumstances

  • Right to object to processing

  • Right not to be subjected to automated decision-making

  • Right to withdraw consent

If you withdraw consent, it does not affect prior processing or processing done under another legal basis. Contact our Compliance Manager for assistance.

6. Cookies

We may use cookies to collect data. Cookies are small text files placed on your computer. They are widely used to make websites work or work more efficiently and to provide information to site owners. For more information, please refer to our Cookie policy. Note that some website features may not function if cookies are removed.

7. Login Files

We use IP addresses to analyze trends, administer the site, track users’ movements, and gather demographic information. IP addresses are not linked to personally identifiable information.

8. Links to external websites

Our website may contain links to other external websites. We are not responsible for the privacy practices of these sites. We encourage you to read the privacy statements of websites that collect personally identifiable information.

9. Sale of business

If the Company’s business is sold or merged, your details may be disclosed to advisers and the new owners. We will notify you of any transfer of your details to a different data controller.

10. Data Security

The Company takes every precaution to protect users’ information. Measures include firewalls, encryption, and limited access. Only employees who need the information to perform a specific job are granted access. Note that the use of email/the Internet is not entirely secure; the Company cannot guarantee security or integrity for information transferred this way.

11. Changes to this privacy statement

We will update this privacy statement as necessary. Changes will be posted with revision dates. We will notify you of any material changes.
